Athletica Sports Physio & Performance Pty Ltd is committed to protecting the privacy and confidentiality of personal and health information.

We may collect personal information necessary to provide Physiotherapy and related services, including:

  • Health and medical information, including medications, allergies, medical history, injuries, imaging, assessment findings and treatment records
  • GP, specialist and other healthcare provider details
  • Private health insurance, Medicare or other funding information where relevant
  • Appointment, billing and payment information
  • Communications with us by phone, SMS, email, online forms or other channels
  • Photographs or videos where you have provided appropriate consent
  • Information relating to your use of our website


Health information is considered sensitive information under Australian privacy law and is handled accordingly.


How We Collect Information

We generally collect information directly from you when you:

  • Complete an intake or consent form
  • Book or attend an appointment
  • Speak with your Physiotherapist
  • Contact us by phone, SMS, email or online
  • Interact with our administrative or AI-assisted communication systems


Where appropriate, information may also be received from your GP, specialist, other healthcare provider, insurer, case manager, parent or guardian, or another authorised person involved in your treatment or funding.


How We Use Your Information

We collect, use and disclose personal and health information where reasonably necessary to:

  • Provide Physiotherapy, rehabilitation and related services
  • Assess, plan and document your treatment
  • Manage appointments, reminders and communications
  • Process payments, claims and funding arrangements
  • Communicate with healthcare providers and other relevant parties involved in your treatment
  • Maintain appropriate clinical and business records
  • Meet our professional, legal and regulatory obligations
  • Respond to enquiries, feedback or complaints
  • Maintain and improve our services


We may also send marketing communications where you have consented or where otherwise permitted by law. You can opt out of marketing communications at any time.


AI-Assisted Administrative Tools

Athletica uses third-party technology providers, including AI-assisted administrative tools, to support functions such as appointment bookings, rescheduling, cancellations, general enquiries and patient communications.


When you interact directly with an AI assistant, we aim to clearly identify that you are interacting with AI.

Information you provide during these interactions may be processed by our technology providers on our behalf for the purpose of providing the relevant administrative service.


AI-assisted administrative tools are not intended to replace clinical judgement or make independent Physiotherapy treatment decisions. Clinical assessment and treatment remain the responsibility of your Physiotherapist.


Some telephone or electronic interactions may be recorded or transcribed where this has been disclosed to you and where permitted by law.


Disclosure to Third Parties

We may disclose personal information where reasonably necessary to:

  • Healthcare professionals involved in your treatment
  • Insurers, funding bodies or case managers where relevant
  • Payment, booking, practice management, communications, IT and cloud service providers
  • Professional advisers where necessary
  • Government agencies or regulators where required or authorised by law
  • Other parties where you have provided consent


We do not sell patients’ personal or health information.


Our service providers are only given access to information required for the services they provide.


Overseas Processing and Storage

Some of the technology providers we use may process or store personal information outside Australia.


Depending on the service being used, this may include processing in the United Kingdom, United States and countries within the European Union or European Economic Area.


Where Australian personal information is disclosed to an overseas recipient, we take reasonable steps as required by applicable Australian privacy law to appropriately protect that information.

Clinical and business records are retained for periods required by applicable legal, professional and record-keeping obligations and are securely destroyed or de-identified when they are no longer required.
